Practice management for clinics where speech therapists, occupational therapists and psychologists care for autistic children, week after week.

01

The problem

Almost every appointment in these clinics belongs to a recurring series, and one person keeps that calendar true: the front desk, with very little time.

Creating an appointment worked. Correcting reality afterwards is where the system broke. A past session was locked as “done” just because its time had passed. Recurrence was switched off. Cancelling one session of a series could cancel the whole series, including sessions that had already happened.

The constraint is the domain. Clinical notes are a health record, and a calendar edit must never be able to erase one.

02

The call

Status follows what happened to the patient, and not what the clock says. A session becomes “done” only when the front desk checks the patient in. The only thing that still reads the clock is the WhatsApp confirmation, which never fires for a session that already started.

The front desk is free inside its own clinic, and accountable through an audit log, and not through locks. Create, edit, move or delete, in the past or the future. Every action records who, what, when, and the value before and after. If a clinical note already exists, the system warns once and lets the receptionist decide.

That freedom stops at access. A user never reaches another clinic’s data, and an unauthenticated user never reaches a patient. The log detects; isolation prevents. Neither replaces the other.

We shipped the cleaner modal now, and not the side panel. The panel serves the front desk better and is where the product is going, but it still needs validation on tablet widths. The logic behind the modal was written to move to the panel without rework.

The repair

The series bug was the one clinics felt. Cancelling a series now never overwrites a session that was completed, checked in or missed. The scope defaults to “this session only”, and the screen shows how many sessions a wider choice will touch.

Cancelling is a change of status with a required reason, never a deletion. Deleting became recoverable. No change to the calendar removes a clinical note: the appointment can move, the history of care is not rewritten.

We also removed an unofficial WhatsApp integration that no clinic had set up, and kept only the official API.

What stayed after

One clinic runs on Fluxo Clínico today, and the product is now in a marketing push to reach more clinics.

The product target for the front desk: edit or move a session in at most two clicks or one drag.
